I've been with Get Staffed Up so long that I don't remember the process. What I remember is how seamless it was to find a staffer. I really enjoyed that. Get Staffed Up was able to interview all of these people, give me videos of them, and I would get to see their personality before I even had a conversation with them. And it really helped me narrow down who I wanted to talk to.

When I finally narrowed it down, I had three options. And then it was super easy for me to select the person that I liked the most based on the video. The interview process — the person coordinating it from Get Staffed Up facilitated the interview as well. So everything was scheduled really easily. Everything was really smooth. I got an idea of who I was talking to and then I got to actually talk to the person. It was fantastic. It was a very seamless process.

I had been through a number of different overseas staff positions and I had learned how to perfect the SOP for bringing them on, but I hadn't found the right person to fill it. When I met my staffer, he was out of Argentina and he was very bubbly and very excited and he was actually going to be the person answering our phones. And he did fantastically.

He's been with us three years, I think. He's a crucial member of our team. He's trained other staffers that we've brought on. He knows the ins and outs of our intake system. He's always continually helping us improve it. People leave him phenomenal reviews on our Google business because of his personality and the way that he approaches communicating with clients. He also helped translate our entire website into Spanish so our Spanish-speaking clients felt it was written by a human.

She gets to do all that for me and I get to focus on lawyering. I think it was really important for me to find a legal system because there are a lot of tasks that I don't want to do that is not lawyering — like calendaring, filing — and then there are things she helps me with on the lawyering side, like drafting things for me so that I can finalize and put my special touches on whatever document I'm asking her to draft.

That has really helped me because now that frees up time I was spending putting together documents, gathering documents, medical records requests, setting hearings, filing notices of hearing, getting depositions coordinated, getting mediation coordinated. She gets to do all that for me and I get to focus on lawyering.

And I'm able to do enough so that I can find time to spend with my kids, because otherwise I would have had to take fewer cases and spend less time with my family because I would have to do all these things that she is doing right now.

Our first hire with Get Staffed Up was our receptionist. I had actually had experience with a receptionist who lived in a different part of the United States and worked virtually for us. So I knew that it was possible. And then as I learned about virtual assistants, I thought, okay, this could be the best fit.

So we looked around. We did hire a different virtual assistant through GSU that did not work out and we figured that out within the first couple of weeks. I think what was helpful with that is we learned what we need and what we don't need. We realized we really need somebody who's more mature, who's very good on the phones with our clients who tend to be elderly. They tend to have a lot of needs; they need a lot of patience.

Going through the process with the last person who didn't work helped us to realize that. So it wasn't a loss, I think. But then we started hiring for the receptionist position and we interviewed one woman who was just — she smiled the entire time and she was so kind and patient. We're like, this is who we need.

And she's still with us a few years later and just doing great.

You’re going to be my director of marketing, so go.” And she was like, “Okay.” And she rose up to the occasion. She didn’t become — she learned really fast, but her skills were there. She is naturally really, really, really smart and she has a drive. So she became my right hand immediately.

At that time I had a fractional CEO and a fractional CMO. With the CEO, it was just me — we’re talking about the business plan. With the CMO, I started bringing her in, and very soon she and the CMO are talking about stuff and I’m like, “I don’t even know what’s happening right now.” This is early on. This is like she’s been with me for five months. She’s a virtual assistant. She wasn’t hired to be a manager. She didn’t technically have the experience, but she ramped up so fast.

My staffer has been very helpful to me in my practice which is complex and without organization could be chaotic because it's litigation. Because she has shown such high-level organization skills and ability to follow direction, I've been able to incorporate her into not just basic executive assistant stuff to help me personally, but to work in the case management system. So she's actually in my case management platform — she files things, she calendars things — and I've given her a really high level of responsibility based on her proven skills in organization.
