How To Delegate Tasks Efficiently and Effectively Every Time [Plus a Cool Technology Hack]

Man with a white shirt and blue tie drawing in a glass the examples on how to delegate tasks with black marker and circuled the word delegate in red marker. Some of the examples of delegation are ideas, paperwork , research, sending emails, tools, calls, invoicing.

Last week we told you how to begin delegating in five (5) easy steps.  If you missed it, or if you’d like to delegate more but don’t know where to begin, delegate tasks, click HERE to read our blog “Delegate These Things First!  How to Choose What to Delegate in Five Easy Steps.” Now, we want to discuss how to delegate tasks.

We want to provide a tool for delegating efficiently and effectively:

Many people have horror stories with delegating when they first begin. As Tim Ferris mentions in The Four-Hour Workweek, you may be an efficient achiever yourself, but that doesn’t mean you’re going to be a natural at delegating. It’s a skill you need to learn.

Fortunately, it’s a very learnable skill, and you can use a template to do it correctly. The most common mistakes people make when first delegating (or, let’s face it, this is some of us when we start to delegate a lot and lose focus) is failing to give a deadline, failing to give the amount of time estimated for the project, failing to delegate in writing, and failing to give precise directions. As one of my mentors used to say, over and over, “who is going to do what, by when.” It’s not a question, it’s a framework for delegation, and it holds true.

So, we’re providing you with a template you can copy, paste, save, and use any time you’re delegating a task.

The above took me less than 90 seconds, and – if I were an estate planning attorney – it would have saved me 3.5 hours. If the job is done right, that’s an exponential time saver and huge money maker (you could be up at least $565.00, conservatively speaking. If you disagree, please email me back). As you can see, it’s not likely the instructions are misunderstood. If they are, you may just have the wrong virtual assistant. If you went out and hired your own, or you’re using a company and paying for chunks of time, this can happen. However, with the right virtual assistant, and practice, using this guide will make your life exponentially better.

BONUS TIP: Empower your virtual assistants to reject assignments that don’t follow these guidelines – it will make you both much happier!

SECOND BONUS TIP: Instead of spending a few minutes searching for this template each time, you can create a canned email and save the template, or you can use software that allows you to make certain commands to populate text. For example, if you hit control, command, 4, the software could automatically insert that text wherever your browser is. Sounds more complicated than it is, and if you type anything more than once per day, it will save you gobs of time. Would love for you to leave a comment on the blog and let us know how this worked for you!
